Corporate M&A | Personal Assistant

We are seeking a highly organised Personal Assistant to join our Corporate practice.

As part of a team of two Personal Assistants, you will occupy a central position within the practice, acting as a key liaison between Partners, lawyers, clients and business services teams.

The role offers broad exposure to the Firm's key support functions, including Finance, HR, Business Development, IT, Reception and Risk & Compliance, and is ideally suited to someone who enjoys working in a fast-paced international environment and building strong relationships across different teams.

Your responsibilities

You will be involved in a broad range of administrative, organisational and client-related matters, including:

  • Providing day-to-day administrative and organisational support to Partners and lawyers within the Corporate practice.
  • Managing complex diaries, meetings and appointments.
  • Coordinating international travel arrangements and preparing detailed itineraries.
  • Preparing and processing expenses and assisting with timesheet administration.
  • Preparing, formatting and finalising legal documents, reports, presentations and correspondence.
  • Taking meeting notes and preparing action points where required.
  • Opening new client matters and coordinating related onboarding and administrative processes.
  • Liaising with Finance regarding billing follow-up, draft invoices and matter administration.
  • Coordinating signature processes and document execution.
  • Assisting with corporate filings and publications before Luxembourg authorities, including the RCS and RBE.
  • Supporting the organisation of client events, seminars, internal meetings and presentations.
  • Acting as the primary contact for HR regarding the onboarding of new joiners and interns within the practice.
  • Working closely with the other Personal Assistant to ensure seamless support and operational continuity across the team.

Your profile

  • Previous experience as a Personal Assistant, Executive Assistant, Legal Assistant or in a similar role, ideally within a law firm or professional services environment.
  • Excellent organisational and prioritisation skills.
  • Strong attention to detail and commitment to quality.
  • Ability to manage multiple tasks and deadlines simultaneously.
  • Reliable, proactive and service-oriented mindset.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal and communication skills.
  • Collaborative and positive approach to teamwork.
  • Fluent in English and French.
  • Excellent command of Microsoft Office (Word, Outlook, PowerPoint and Excel).
